CUNYfirst Project Q and A

This FAQ is meant to provide guidance and answers for those members of the Brooklyn College Community who have been asked to participate in the CUNY first Project Community Survey.
What is CUNYfirst? 

CUNYfirst stands for Fully Integrated Resources and Services Tool.  New CUNYfirst processes in Student Administration, Human Resources and Finance will change how we do everything from registering for classes to paying our bills.  CUNYfirst applications will replace aging legacy systems like SIMS and CUPS and help us streamline and standardize many of the things we do at our colleges. 

When and how will CUNYfirst will be implemented?

CUNYfirst will be implemented in phases, or waves.  Base processes for business, HR and academic structure will be created first, with enhancements and new modules being added in the coming years. The CUNYfirst Project is planned to last until early 2012 and is intended to establish CUNY processes well into the future. 

Where will CUNYfirst be rolled out first?

Queens College and Queensborough Community College will be the first ones to roll out the entire system.

What will be the first function to go live on CUNYfirst?

CUNYfirst will implement the General Ledger functions in all colleges starting July 2008.

What is this Web survey we are doing?

This is a follow-up to a survey conducted last spring that is meant to gauge insights and reactions from the CUNY community to ensure we manage the implementation well. 

How much time will this take?

The survey will take 10-15 minutes to complete, depending on how many comments you include.   

Why are we doing this survey?

We are all going to invest many resources in the CUNYfirst implementation over the coming years and want to be sure we are managing it well.  We need to continue to understand your expectations, communication needs and opinions about how you believe CUNYfirst will affect your particular campus.   We want to understand your expectations, communication needs, and how you see the transformation being managed with respect to CUNY’s culture. We need to know your ideas and reactions to put the project on the path to success.

What is the survey’s goal?

The findings from your completed survey response will help us address needs and create a plan that will move us toward a successful implementation. This survey is just one of the tools used to gather information.  Other tools include face-to-face interviews and focus groups.     

How was I chosen to take part in this survey?

The survey is being sent to all members of the CUNY community who are likely to be directly impacted by the changes that will come about when CUNYfirst processes “Go Live”.  If you are invited to take part in this survey, you are more than likely performing crucial administrative or support services in the areas of Finance, Human Resources, Student Services, Information Technology and our faculty chairs and academic deans.

What will happen to my answers?

The assessment is hosted externally on-line; therefore names are not communicated or associated with answers in any way. As soon as the Baruch Survey Research Unit (http://www.baruch.cuny.edu/spa/Centers/BaruchSurveyResearchUnit.jsp) receives your response, personal identification will be stripped from the data so that your answers remain anonymous and confidential. The responses will be tabulated and reported as grouped data.  The CUNYfirst Project Team will use the results to update and strengthen implementation plans. 

Why should I take part?

This is a chance for you to give feedback directly to the leadership of the CUNYfirst project and to your Campus Teams.  Is it an opportunity for you to make a difference in how CUNYfirst is implemented. 

How will the data be used?

The data will be reported to the CUNYfirst Project leadership and to the teams at each college.  Understanding the reactions and suggestions of people impacted by CUNYfirst will be helpful guidance to communicate effectively with you and support you during the change. 

What are borough training centers?

Each borough will have one school designated to prepare personnel for the implementation of CUNYfirst. Brooklyn College has been designated as the training center for Brooklyn’s four CUNY colleges and for the “training-the-trainers” phase of preparing General Ledger personnel for the transition. 

Will I hear about the results?

Yes, a summary report of the general findings will be sent to everyone who was invited to take part.  There may also be some articles about this in our weekly memo called Fridays @ first, and on the CUNYfirst web site.
